New in Document Locator Version 5.0

  • Records Management
    Implement records management and document retention policies that are tailored to the specific needs of your company. The new Record Policy Manager in Document Locator allows Records Managers to customize document actions and dispositions to meet compliance and regulatory requirements.

  • Microsoft SharePoint Integration
    Integrate Document Locator with SharePoint so that users can access Document Locator repositories along with other business applications and libraries from a single, convenient interface. The new optional SharePoint Connector Module leverages SharePoint investments without the additional cost of custom development. You can place Document Locator Web Parts on any SharePoint page, search Document Locator and SharePoint files together in a combined search operation, and establish Document Locator as the enterprise repository within SharePoint.

  • Web Access
    Additional desktop client functionality is extended to the Web interface with these new features: version history, document log, and document notes dialogs; auto-login for current user; workflow support for submitted tasks and pending item notifications; floating right-click menus; streamlined large file transfers and page subset updating for improved performance; and document thumbnails via mouse-over. Also, Web access is now available in two options: the optional WebTools Module, which provides full access; and the optional WebView Module, which provides access to search, view and retrieve documents.
  • Profile Property Encryption
    Enhanced security features further protect data even if the database is physically copied or stolen. Existing file encryption is extended with the option to encrypt Profile Properties within the repository–adding a layer of protection to sensitive metadata.
  • Version-Level Properties
    Manage document properties at the version level to record version-specific metadata. For example, include a “Status” property with the choices of “Draft,” “Submitted,” and “Approved”. Version-level properties maintain a “snapshot” of the property history, and allows searching on prior version property information.
  • Workflow
    Improvements in the Automated Workflow Module include: the ability to configure folder level user and group defaults for workflow steps; configurable client-side workflow actions; a new workflow “Pause” step; and revamped workflow diagram generation with integration into Microsoft Visio.
  • Scanning
    Enhancements in the Scan Station Module include: new collision behaviors for Append and Prepend, resizable form template wizard dialog, and additional support for Auto-Generated image properties for PDF documents.
  • Microsoft Outlook Integration
    Improvements in the Automated Email Rules Module make it easier than ever to incorporate email and attachments within document and records management processes. Email Rules now support recognizing key words in the subject and body of the email. For example, you can create a rule that searches for the text “Project Number” and automatically stores the email in the correct folder based on the extracted number.
  • User Interface
    Improvements in the UI for the desktop client add practical user benefits: an improved notification pop-up dialog increases the awareness of incoming document messages; an expanded hover-over dialog lets users clearly read document metadata without clicking on the file; and a new folder hierarchy builder automatically generates folder trees based on templates (for example, you can define a “New Customer” template with pre-defined folders, Profiles, properties, and default folder-level workflows and when you need to add a new customer to your repository, a simple right-click command builds a complete set of folders ready for use.)
