Document Scanning & Imaging

Document Locator combines optional document scanning solutions with a robust document management system for the efficient and equal handling of all paper and electronic documents. Once documents are scanned, you can find them instantly because Document Locator uses optical character recognition (OCR) technology to full-text index each document as it is scanned. This means you can search for the document based on words or phrases within the document’s content.

Document Locator integrates with any TWAIN-compliant scanner or networked digital Multi-function Printer (MFP). All scanned documents, and the metadata you associate with them, are kept in a secure repository using a Microsoft SQL Server database. You can scan in bulk hundreds of documents at a time, and save and profile them. Or, you can automate the entire process using scanning templates. In addition, you can import previously scanned documents through the Document Locator Scan Console, immediately gaining all the benefits of document management without having to re-scan your documents.

Document Locator supports zone OCR, barcodes, coversheets, and automatic folder creation to correctly process and store documents as they are scanned into the system.

Scan Station Module

Document Locator supports three optional levels of scanning capability. At the first level, the optional Scan Station Module is designed to support everyday batch scanning as an upgrade to a single Document Locator desktop client. Scan Station provides for scanner control and importing of scanned document images in bitmap, GIF, JPEG, PDF, TIFF, and TIFF(OCR) file types. Scan Station supports both manual scanning and scanning templates for automating standard scanning jobs, including cover sheet (or standardized form) recognition using Zone OCR to separate and store documents as they are imported. The Scan Station Scan Console interface can also be used to easily import previously scanned documents via a simple drag-and-drop operation.

SmartBatch Add-in

At the second level, the optional SmartBatch add-in enhances Scan Station coversheet and form recognition. With SmartBatch, you can configure Scan Station to import multiple documents with differing coversheets (or standardized forms) in a single combined batch scanning run. SmartBatch automatically recognizes the different documents and applies the correct batch template, indexing and storing the documents in the appropriate repository folders according to the values specified in the batch template and on the coversheet or form.

Barcode Recognition Add-in

At the third and highest level of functionality, SmartBatch is enhanced by the optional Barcode Recognition add-in, which adds Linear 1-D Symbols barcode OCR capability. Barcodes are recognized anywhere on a coversheet or standardized form to ensure extremely high recognition accuracy for critical scanning applications. Barcode Recognition supports the following 1-D barcode formats:

Ad Hoc Scanning

For business operations that require ad hoc scanning by many users, ColumbiaSoft offers an optional Document Locator Connector to eCopy ShareScan OP.
