Alaska Mental Health Trust Land Office Takes Paperless Approach to Property Records Using Document Management System

Trust Land Office staff use Document Locator document management system to quickly and accurately search and retrieve extensive property information.

Portland, Ore. – January 26, 2010 – The Alaska Mental Health Trust Land Office has improved its management of property records for more than one million acres of land by using the Document Locator document management system. With Document Locator in place, staff can quickly access land use authorizations, planning files, and project documents, allowing for accurate fact-gathering and rapid, informed decisions.

The Trust Land Office manages Mental Health Trust land to generate income for the Alaska Mental Health Trust Authority. These funds improve the lives and circumstances of Trust beneficiaries.

With more than a million acres of land spread across 4,800 parcels under its management, the Alaska Mental Health Trust Land Office must have an effective system to manage resources. With Document Locator in place to manage files for everything from land parcels to administrative details, the productivity of the office saw immediate gains. The document management system includes records of easements, letters of authorizations, licenses, sales, surveys, trespass case files, and more. Employees are now able to correlate information quickly to make faster, more informed decisions based on all the facts.

“Document Locator is an incredibly efficient—and affordable—way for us to capture documents and do searching,” says Trust project manager Dennis Daigger. “We are working smarter and more efficiently because everyone has all the information they need at their fingertips and can organize information to meet the specific objective at hand.”

“In matters like land ownership and management, the ability to adeptly manage every detail is crucial, as well as ensuring important data is maintained in a safe and secure environment,” says David Pogue, executive vice president, ColumbiaSoft. “We are thrilled to have our document management software benefitting such a meaningful cause.”
